As you prepare for your postdoctoral or visiting scholar position at Temple University, you will receive communications from the Office of Postdoctoral Affairs and other organizations about required paperwork.
At Home
The Office of Postdoctoral Affairs will email you to schedule your new hire orientation. If you are to be paid by Temple, you will also receive the following emails.
- You will receive an email from Equifax ([click-for-email]) with instructions on how to complete required new hire documents electronically, including Form I-9, Form W-4, PA Act 32 certification and direct deposit. This process must be completed prior to your start date. If you are an international candidate who is not currently in the U.S., you will not be able to complete the I-9 section until you arrive in the country. Your I-94 number, which is assigned to you upon entering the U.S., is needed to complete the Form I-9.
- After completing the Equifax process and if you are an international candidate, you will receive an email from Glacier ([click-for-email]). Glacier is an online tax compliance system that ensures all payments made to non-U.S. citizens are taxed according to the Internal Revenue Service’s rules and regulations. You will not be able to complete Glacier until you are present in the U.S. You must bring your completed Glacier forms with you to orientation, where the Office of Postdoctoral Affairs will submit your completed Glacier tax summary report to Temple’s Human Resources Department.
Note: Both Equifax and Glacier will ask you to provide a Social Security number. If you do not have a U.S. Social Security number, you will need to select the option “SSN Applied for” in all documents from Equifax and Glacier.
At Temple University
You will be required to attend new hire orientation before you can begin your work.
If you are a domestic candidate who will be compensated by Temple, you must bring with you to orientation the documents required to verify your eligibility to work in the U.S., as defined by the United States Citizenship and Immigration Services. If you are an international candidate who will be paid by Temple, you need your immigration documents for I-9 certification. This information must be provided within three business days of your date of hire.
If you are to be compensated by a funding source other than Temple, you are not an employee of the university and do not receive all of the rights and privileges afforded to employees. For access to buildings and other limited resources on campus, you can apply for "Guest Access." Your department will assist you in this process.
Regardless of which postdoctoral or visiting scholar position you will be undertaking at Temple, you will be required to meet the following conditions.
- If your research and clinical work involve human tissue, blood or otherwise potentially infectious material, you will begin the series of Hepatitis B vaccinations or sign the declination form.
- If you will be working with hazardous biological, chemical or radiological materials, you must attend Environmental Health and Radiation Safety training.
- Activity involving human subjects requires you to obtain Institutional Review Board approval and complete IRB Collaborative Institutional Training Initiative before implementation of your study.
- Work involving animal subjects in any type of research or teaching activity requires you to obtain Institutional Animal Care and Use Committee approval beforehand.
